2020: A preview of the coming meetings
The 2020 events will take place on-site thanks to the ease in travel restrictions. While the worldwide situation is looking better, we have several possible approaches in mind in order to be prepared for any scenario that might unfold: on-site, remote (.pdf slides or pre-recorded videos).
Regardless of the final scenario out of those listed below, the submissions are subject to the same peer-reviews process, evaluated for awards and journal invitation selection, and listed in the conference program. The published articles are also available with free access via ThinkMind digital library.
In all fairness to authors who may still be reluctant to travel, the selection of awarded papers and invitations for expanded versions for IARIA journals are not affected by the presentation method (pre-recorded or in person).
Several conference options are presented below, and the one that we implement will be decided as we get closer to the conference dates. While the first option is preferred, the backup second and third options are meant to address some of the inherent issues with virtual participation. In order to avoid issues caused by time zones (presenter availability and readiness) and potentially unreliable connections, we will adopt procedures to ease this.
The exact option that will be put in practice will be announced to registered participants in a timely manner so that travel plans can be arranged and presentations can be recorded, depending on the situation.
1: The event takes place on location (preferred option)
We are highly but cautiously optimistic. Some of the European border crossings are now reopening. Hopefully things gradually get back to normal where we can meet and exchange ideas in person. Hesitating authors can still provide their .pdf and/or pre-recorded presentations to make up for their absence.
2. Hybrid Onsite and Virtual participation (backup scenario)
In the event that international travel is not operating at normal levels, there are partially closed borders, or other sudden unexpected events in several areas, the logistics are prepared for a hybrid possibility: a combination of On-site and Virtual.
The final procedure for this option will be provided to those registered contributors closer to the event. We would be delighted if all authors manage to attend in person, but are aware that special circumstances are best handled by having flexible options.
3. Fully Virtual participation (second backup scenario)
If the international health and travel situations worsen, and we are not in a position to offer a solid event, a fully virtual event is the only way to go. It would be difficult to enjoy meeting people in person while our minds are not at ease
The final procedure for this option will be provided closer to the event, yet timely to freely schedule your personal agenda.
